Introduction

Milesheet ("App") is a mileage logbook and vehicle-expense recorder for self-employed drivers, developed by Soso Family in Vancouver, Canada ("we," "our," or "us").

Milesheet records where you drive. That is more sensitive than most of what an app asks for, so this policy is specific about what is recorded, where it is kept, and who can reach it. If you do not agree with this policy, please do not use the App.

Location Data

This is the part worth reading closely.

• What is used: with your permission, the App reads your device's location while you drive in order to measure the distance of each trip.
• Why "Always" is requested: a drive that starts while the App is closed would otherwise go unrecorded. This matters beyond a missing trip: your business-use percentage is business distance divided by total distance, and that percentage is applied to every vehicle expense you claim. A gap in the log changes the number you file.
• What is kept: the trip's distance, start and end times, and the route points used to compute that distance are saved to the App's own storage on your device.
• Where it goes: nowhere. Location data is never transmitted to us or to any third party. We run no server that could receive it.
• Turning it off: you can decline location access, or revoke it later in iOS Settings, and keep using the App — trips are then entered by hand. The App also detects when permission has been reduced and tells you that automatic recording has stopped, rather than silently leaving gaps in your log.

Motion & Fitness Data

With your permission, the App uses iOS motion activity to notice when driving starts and stops. This is what allows GPS to run only while the vehicle is actually moving, which is the difference between a normal battery day and a flat one by mid-afternoon. Motion activity is read on your device, used only to start and stop trip recording, and is never transmitted or stored by us.

Other Information the App Handles

Information You Provide

• Trip details: whether a drive was business or personal, its purpose, destination, and odometer readings you enter.
• Receipts and images: when you scan a receipt or import a photo, the image and the information read from it (vendor, date, total, currency, taxes) are stored locally on your device.
• Tax profile: your tax jurisdiction, fiscal year start, currency, and date format, stored locally to organize your records and reports.

On-Device Processing

• Text recognition (OCR): reading text from your receipts happens entirely on your device using Apple's Vision framework. Receipt images are not sent to us or to any server.
• Distance and deduction calculations: performed on your device from the data described above.

Information We Do NOT Collect

• We do not receive your location, routes, trips, receipts, or records — we operate no servers that receive them.
• We do not collect personal identification information.
• We do not access your contacts or messages.
• We do not include advertising or advertising identifiers.
• We do not use third-party analytics or tracking SDKs inside the App.
• We do not sell, share, or broker your data, and we do not present insurance, lending, or other financial offers.

Data Storage

Local Storage

By default, all trips, location data, receipts, and records are stored locally on your device and are not transmitted anywhere. You can delete any trip, any receipt, or all of your data at any time within the App, or by deleting the App.

iCloud Backup (Optional)

If you enable iCloud Backup in Settings, your records are stored in your own private iCloud account using Apple's CloudKit, so they can be backed up and restored across your devices. This data resides in your personal iCloud — Soso Family cannot access it. No separate login or account is required; it uses the iCloud account already signed in on your device. Apple's handling of iCloud data is governed by Apple's Privacy Policy. You can turn iCloud Backup off at any time.

Keeping Records for Tax Purposes

Tax authorities generally expect mileage logs and receipts to be kept for several years after filing. The App does not automatically delete your records for this reason. Deleting them is always your decision.

Third-Party Services

Milesheet embeds no advertising networks and no third-party analytics. The only third-party services involved are provided by Apple:

• Apple iCloud (CloudKit): used only if you enable iCloud Backup, to store your records in your own private iCloud (see above).
• Apple App Store / In-App Purchases: optional paid plans are processed by Apple. Apple handles your payment; we do not receive or store your payment details. Purchase processing is governed by Apple's Privacy Policy.

Device Permissions

• Location (optional): to measure drive distance, including in the background if you allow "Always." See Location Data above.
• Motion & Fitness (optional): to detect when a drive begins and ends, so location is only used while driving.
• Camera (optional): to scan receipts. Processed locally; not transmitted.
• Photos (optional): used only if you choose to import an existing photo of a receipt.
• Face ID / Touch ID (optional): used only if you turn on App Lock. Biometric authentication is handled entirely by iOS; the App never sees or stores your biometric data.

Every one of these is optional. The App remains usable if you decline all of them.

Data Security

Records are stored with file-level data protection on your device. Because your data lives on your device and in your own iCloud, its security also depends on your device's settings. We recommend enabling a device passcode and biometric authentication, and you may also turn on the App's built-in Face ID lock.

Children's Privacy

The App is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us.

Your Rights

Because your data stays on your device and in your own iCloud, you remain in control of it at all times. Depending on where you live, you may have the following rights:

• Access & portability: view your records in the App, and export them as PDF or CSV at any time.
• Deletion: delete any trip or receipt, or all of your data, directly within the App, or by deleting the App and its iCloud data.
